Microsoft's suite of productivity software consists of classics like Word, Excel, PowerPoint and Outlook, as well as newer apps like Microsoft Teams, OneDrive and SharePoint.
The suite typically costs $20 to $100 a year for subscription access across devices and family members. Microsoft also has a standalone version of Microsoft Office for Windows and Mac , called Office Home and Student 2021 , for a flat $150 -- no subscription required.

You can give it natural language prompts like “Tell my team how we updated the product strategy,” and it will generate a status update based on the morning’s meetings, emails and chat threads.
With Copilot, you’re always in control. You decide what to keep, modify or discard. Now, you can be more creative in Word, more analytical in Excel, more expressive in PowerPoint, more productive in Outlook and more collaborative in Teams.
Microsoft 365 Copilot transforms work in three ways:
Unleash creativity. With Copilot in Word, you can jump-start the creative process so you never start with a blank slate again. Copilot gives you a first draft to edit and iterate on — saving hours in writing, sourcing, and editing time. Sometimes Copilot will be right, other times usefully wrong — but it will always put you further ahead. You’re always in control as the author, driving your unique ideas forward, prompting Copilot to shorten, rewrite or give feedback. Copilot in PowerPoint helps you create beautiful presentations with a simple prompt, adding relevant content from a document you made last week or last year. And with Copilot in Excel, you can analyze trends and create professional-looking data visualizations in seconds.
Unlock productivity. We all want to focus on the 20% of our work that really matters, but 80% of our time is consumed with busywork that bogs us down. Copilot lightens the load. From summarizing long email threads to quickly drafting suggested replies, Copilot in Outlook helps you clear your inbox in minutes, not hours. And every meeting is a productive meeting with Copilot in Teams. It can summarize key discussion points — including who said what and where people are aligned and where they disagree — and suggest action items, all in real time during a meeting. GitHub data shows that Copilot promises to unlock productivity for everyone. Among developers who use GitHub Copilot, 88% say they are more productive, 74% say that they can focus on more satisfying work, and 77% say it helps them spend less time searching for information or examples.

Microsoft Office’s New ‘Copilot’ AI Tool Can Create PowerPoints
PowerPoint, Word, Excel: They're some of the oldest, most established business apps still in use today. And now they'll be integrated with one of the buzziest, newest tech revolutions.
Microsoft has just announced a new text AI-powered tool , Copilot, which will be available within the business's popular Microsoft 365 apps.
The tool will function like a chatbot available to users in a sidebar, and could be used to create new text, crawl through a Word document in order to create new PowerPoint presentations, or help users deploy Excel functionality they might otherwise miss.
What Can Copilot Do?
Microsoft revealed the new tool today in a blog post , positioning the tool as a major revolution in office software.
“It works alongside you, embedded in the apps millions of people use every day: Word, Excel, PowerPoint, Outlook, Teams, and more. Copilot is a whole new way of working.” – Microsoft executive vice president Jared Spataro.
The tool draws on large language models and pairs them with the personal user data available within Office apps. While the tool is already integrated with Microsoft 365 tools today, the new format (called “Business Chat”) adds a chatbot that more directly engages with a user. The functionality has already been tested out, but it now offers a more hands-on way to convert existing user data — already available in tools like your calendar, emails, chats, documents, meetings and contacts — into new formats.
According to the announcement, users can give the chatbot natural language prompts: Saying “Tell my team how we updated the product strategy,” for example, can generate a new status update based on that morning's work.
I’m more bullish on Microsoft 365 Copilot than “AI and Google Workspaces” not only because MS is ahead on the consumerization of GPT (and better branding) but because people will use Business Chat with MS Teams where as Google Chat usage is lacking and thus it has less context. — Steve Moser (@SteveMoser) March 16, 2023
Microsoft doesn't have a yet set timeline for a Copilot rollout, or any information on pricing and licensing. But it's coming, the company says, in “the months ahead” to a wide range of products including Word, Excel, PowerPoint, Outlook, Teams, Viva, and Power Platform, among others.
Will AI Fully Replace Us? Not Yet.
AI is far from a perfectly trustworthy personal assistant, as machine learning can often generate “hallucinations” — perfectly logical-sounding statements that are actually gibberish when fact-checked. Spataro addressed this concern by highlighting that the AI tool works best for creating a “first draft” that users can then adjust as needed.
“Copilot gives you a first draft to edit and iterate on — saving hours in writing, sourcing, and editing time. Sometimes Copilot will be right, other times usefully wrong — but it will always put you further ahead.”
“Usefully wrong” is a great term to keep in mind when dealing with today's AI. As potentially revolutionizing as any new technology is, keeping humans in the loop remains a key aspect of quality-control.
At the moment, AI tools (particularly text-based chatbots) are a top tech priority. In fact, Google already announced its own AI tool similar to Microsoft's Copilot this week, making this a clear-cut innovation battle between two tech titans.
Still, Microsoft's entrenched position as a leading business software provider puts it in the best position to actually help people with its AI tools. Boosting efficiency means less time spent tackling boring office tasks, and that's a revolution plenty of people can get behind.

- 8. Retrieving Documents The Search feature can be used if a file cannot be found. File name can be searched through a specific drive.
- 9. Retrieving Documents File names can be modified once they are named by using these tools: Save As Feature Shortcut Feature – Right click the file name with the mouse and select rename. Documents can be deleted by using these tools: Right click on the file name with mouse and select delete. Mistakenly deleted files can be retrieved from the recycle bin.
- 10. Printing Documents Before printing a final draft be sure to proofread. Read over the document again. Ask a neighbor to proofread. Use the Spelling/Grammar Check. After proofreading, resave and print.
- 11. Character Formatting Font: A group of characters that have a similar appearance. Font Attributes: Additions that enhance your font for emphasis. Font Size: The size of characters. Type Face: A set of characters with a common style and design.
- 12. Character Formatting Bold/Boldface: A formatting option that makes selected words print darker than normal. Italics: Characters are evenly slanted toward the right. Subscript: Text that has been lowered vertically. Superscript: Text that has been raised vertically. Underline: A horizontal line that is placed beneath characters. (Do not underline for emphasis since you can do this with bold, italics, color, and font size. Reserve underlining for hot links as an underline in modern computer usage implies a link web link or other file link.)
- 13. Paragraph Formatting Alignment: The way lines of text are arranged. Full, Left, Right, Center Full Justified: Lines of text are both left and right aligned. Left Justification: Alignment that allows a document to have an even left slide. Right Justification: Alignment that allows a document to have an even right side. Center Justification: A feature when activated will align the text horizontally on a line.
- 14. Character Formatting Border: A frame that surrounds pictures or text. Bulleted List: A list of key points, each preceded by a symbol for emphasis. Hanging Indent: All lines except the first line are indented. Used in citing references. Indent: Insetting text from one of the margins.
- 15. Paragraph Formatting Line Spacing: The amount of space between lines in a document. Single Space, Double Space, Triple Space, etc. Page Break: Indicates that the maximum number of lines have been keyed on a page and a new page is beginning. Hard break - created by the user. Soft break - created by the word processing program.
- 16. Paragraph Formatting Tab Key: Allows the user to move the cursor a predetermined number of spaces. Text Wrap: Feature that allows text to flow around an object or graphic. Widow/Orphan Protection: Feature that will prevent widow/orphan lines in a document. Orphan: First line of a paragraph at the bottom of a page. Widow: Last line of a paragraph at the top of a page.

Export a presentation
File > Export helps you change your presentation into a different format, such as PDF, video, or Word-based handouts. All these options are covered below.
If you simply want to "export" a file (in its current .pptx format) to a different storage system, such as a flash drive, plug that flash drive into your computer and use File > Save As (or Save a Copy ) to save to that new location.
Create a PDF
You can convert your presentation to PDF or XPS to share with others.
Click the Create PDF/XPS button.
In the File Name box, enter a name for the file, if you haven't already.
In the Save as type list, ensure that PDF (*.pdf) is selected.
If you want the file to open in the selected format after saving, select the Open file after publishing check box.
If the document requires high print quality, click Standard (publishing online and printing) .
If having a smaller file size is more important than print quality, click Minimum size (publishing online) .
Click Options to set the pages to be printed, to choose whether markup should be printed, and to select output options. Click OK when finished.
Click Publish .
Create a video
You can turn your presentation into a video file that can be watched without using PowerPoint.

Package a presentation for CD
You can create a package for your presentation and save it to a CD or USB drive so that other people can watch your presentation on most any computer.

Create handouts
If you want to use the editing and formatting features of Word, you can work on and print your handouts using Word.

Change the file type
Change File Type is the same feature as the traditional Save As command. You select the underlying type of file you want, then click the Save As button. The original file is kept in its current format and closed, and a new copy of it is opened and saved in the format you've chosen.
Publish to Microsoft Stream
(This feature is available to Microsoft 365 subscribers who are part of an organization .)
After you save your presentation as a video, you can upload the video to a video-sharing site named Microsoft Stream that only people in your school or organization have access to. Those people can watch the video in a browser.

You may soon be able to use AI in Microsoft Word, Outlook
Workers will be able to chat with artificial intelligence called copilot in word, excel and outlook, microsoft says.

If you ever wished you could speed through some of the more tedious tasks of your job, such as creating a PowerPoint presentation, analyzing the latest sales data or even getting caught up on what happened in meetings you missed, you could soon get some help with an AI tool.
Microsoft on Thursday unveiled Microsoft 365 Copilot, which embeds artificial intelligence into apps like Word, Outlook, Teams and Excel. The AI assistant combines natural language processing, based on OpenAI’s ChatGPT technology, with Microsoft Office tools and capabilities to help workers automate or accelerate some of their more mundane work. Copilot is currently debuting with 20 enterprise customers, with the expectation of testing and tweaking the software. Microsoft said it expects to make it available to its larger user base in the coming months. It did not release details regarding whether the capabilities will come at an additional cost.
“We believe this next generation of AI will unlock a new wave of productivity,” said Satya Nadella, CEO of Microsoft. This will happen with help from “copilots designed to remove the drudgery from our daily tasks and jobs.”
The move follows the company’s debut of the new version of its search engine Bing , which integrates the conversational AI tool, ChatGPT. It also comes just days after Google said that it’s adding AI into its workplace software , Google Workspace.
But experts have cautioned that generative AI tools such as ChatGPT can introduce problems to work , as it can sometimes get facts wrong, misinterpret text or even generate content that doesn’t make sense. They also caution people about sharing sensitive data with generative AI tools, which could then repurpose the data to train its tech.
In its demo of Copilot, Microsoft acknowledged that sometimes its AI might get things wrong or exclude important details, emphasizing that workers can choose to review, edit or even discard results produced by the tool. It also adds some citations that show which of your files or conversations it used for its answers and suggests prompts you may want use to continue working with Copilot. Microsoft said that Copilot follows the customer’s security, compliance and privacy policies for Microsoft 365, and that it doesn’t use company data to train its systems.
Here are some of the ways to use Copilot at work.
Use business chat to work across apps
Workers who don’t know where to start can turn to a new tool called business chat, which will work across Microsoft’s apps and be embedded into Teams, on the Microsoft 365 website and in the new Bing platform for work.
You can prompt the chat to give you milestones of a project you’re working on, and it will search across apps and documents to present you with answers, offering citations of where it got those answers, for example. You can then continue the conversation and ask it to summarize its answer or infer what risks might be related to the project. Then you can turn that into an action by asking the chat to draft an email to specific colleagues including the summary and risks. If you like the draft, you can click to make the chat open Outlook and transfer all the data to the right fields, so that the subject moves to the subject line and the content is automatically pasted into the body of the email.
Workers can also use Microsoft’s collaborative chat tool Loop to create prompts for and work with the AI together as a group.
Draft documents, emails and speeches
Workers can prompt Microsoft Copilot to generate text on a specific topic in an Outlook email, in a Word document, in a Teams message or on OneNote. It will either pull from its library of information, which includes information from OpenAI’s GPT technology as well as items or conversations within your Microsoft apps, or from the documents or materials you specify.
For example, you can tell Copilot to write a message on Teams, Microsoft’s group chat and video tool, debriefing them on the latest customer interactions. From a drop-down menu, you can pick which documents have those interactions and add those to the prompt. Microsoft will then generate text. You can ask it to generate a new response, shorten it, change the style of communication to be more professional or casual, or include or exclude specific details. You can also manually edit the text Copilot gives you before sending it to the team.
Quickly build PowerPoint presentations
You can also use Copilot to speed up how long it takes to build a PowerPoint presentation.
If you already have notes or a briefing saved in a Word document, you can ask Copilot to make a presentation based off the existing file or create a file based off your presentation. You can also prompt it to include images saved on Microsoft’s cloud service, OneDrive. For example, if you wanted to create a presentation that includes the latest sales of your company’s product, you could ask it to include images you saved of that product, and it will automatically drop them in. You can edit or remove anything that Copilot adds.
You can ask Copilot to include speaker notes, so that you have a script to follow when you give a presentation. You can also ask it to add transitions between slides, make slides more visual or add animations related to your topic to a slide.
Get insights on Excel spreadsheets
On Excel, users can quickly analyze large data sets or zero in on specific data points.
So if workers have a spreadsheet showing this quarter’s sales, they can ask Copilot to give them the key trends from the data. They can ask it to visualize what led to a sales decline, and Copilot will highlight key figures. They can also ask it to break down a specific month, and Copilot will create a new sheet further analyzing specific figures based on the original data. It can also create growth models for the future.
Catch up on work communications
Workers can quickly get a recap of emails or meetings, even if they weren’t there.
If you miss a meeting, you can ask Copilot to tell you to give you the key points, which it pulls from the meeting’s transcript. You can also ask it to surface questions or comments made by a specific participant. And it can tell you what outstanding items are left and offer action items for the future. It can also help you prioritize your emails.
Automate work flows
If workers wanted to ensure that their customer service colleagues were flagged on urgent issues, they could ask Copilot to automatically send a Teams message with a summary of an urgent customer complaint and tag specific people once that message is sent. In this case, the action will be triggered every time an urgent request is received.
