Despite my repeated attempts to find a legitimate free version, I was only met with pirated versions or malware-infected downloads that posed a risk to my computer’s security. Since its initial release in 1987, PowerPoint has become the go-to software for personal and business-related presentations . The intuitive drag-and-drop interface allows users to create a presentation that fits their needs instead of trying to work within a predetermined framework.
With the latest release of PowerPoint, Microsoft continues to add and upgrade its features . When you subscribe to a subscription plan, you also get 1 TB of OneDrive cloud server. It makes it easier to share your slideshows and presentations with others.
It also gives you the option for multiple users to edit the same presentations, making it easy for teams to collaborate on a project. Just adjust the permission levels for each file to allow others to view, edit or comment on the presentation. PowerPoint also has a feature called co-authoring, which allows multiple users to work on the same presentation simultaneously.
PowerPoint is one of the most versatile programs included in the Microsoft 365 suite. It can be used by anyone from kids making a picture slideshow for their friends to students creating slideshows for class and salesmen for highlighting the benefits of their product. Whatever the reason, there is an appropriate template design, color scheme, and animation or transition that brings the presentation together.
Large Selection of Templates for Easy Design Customization
You can choose from a variety of pre-designed themes and templates to quickly and easily create the right look and feel of a presentation. Themes include a combination of colors, fonts, and effects that are applied to all the slides in a presentation.
This can save time and ensure a consistent design throughout the presentation. Users can also customize the themes to their liking by editing the colors, fonts, and effects separately.
Engage Your Audience with Integrated Text and Media Elements
Customize the look of the text with comprehensive typography options . This includes hundreds of fonts, multiple styling options, and a full range of colors. Once you add a text box to the slide, it can be resized, moved, and rotated, giving it the look and style you desire.
Adding images, videos, and other media to a slide makes it a versatile tool for creating engaging presentations. You can upload media files from your local device, OneDrive account, or online sources. The application also allows users to edit images and videos directly on the slide.
Add Personal Style with Dynamic Animations and Transitions
There is a large selection of animations and transitions that you can use to bring slides to life and make them more interactive. Animations can be used to draw attention to specific elements on a slide, such as images or text. You don’t need any experience in animation to use this feature . It’s as easy as clicking on the element you want to animate and choosing the animation style. If you’re going to animate multiple elements in a slide, you can set the order of the animations so not everything is triggered at once.
Transitions can be used to smoothly move between slides, adding a professional touch to the presentation. You can customize the time it takes to complete each transition, set one transition style for the entire presentation, or choose a different style for each slide.
Simplify Complex Information with SmartArt
SmartArt is a feature that allows users to create diagrams and other visual elements in a simple and intuitive way. This can help to make complex information more easily understandable. SmartArt diagrams can be used to show relationships, processes, hierarchies, and more.
You can choose from a wide range of pre-designed SmartArt diagrams or create your own using the SmartArt graphic option.
Excellent Presentation Tools
If you’re using PowerPoint as a visual aide during a lecture, speech, or presentation, it comes with some excellent features and suggestions:
- Notes : Add notes that only you see to ensure you don’t forget what you planned on saying.
- Set the slides on a timer : You can automate the slides, so they change at specific time intervals.
- Remote control access: Using your smartphone, you can change slides without having to walk over to your computer and click the mouse.
- Compatible with all Microsoft 365 tools : Integrate Word documents, Excel spreadsheets, diagrams, and flowcharts from Visio without having to convert any files or download any special plugins.
Share your Presentation Anywhere and on Any Device
PowerPoint has different format options for exporting a presentation including PDF, video, and HTML. This makes it easy to share presentations with others and ensure that they can be viewed on any device. Another option is to export the presentations as a collection of images, such as JPEG or PNG. This allows users to share their presentations in a format that can be easily shared on social media or via email.
Is PowerPoint Web good?
Microsoft has a free limited version of PowerPoint through its website. However, the free version isn’t as good as the premium option for several reasons:
- Missing some themes and templates : While you can still use themes and templates to create a beautiful presentation, your options are limited compared to the desktop versions.
- Fewer animations and transitions : You will have to get back with basic animation and transition options.
- Limited file compatibility : PowerPoint Online may not be able to open or save certain types of files, such as older versions of PowerPoint or some third-party file formats.
- Internet connection required : You must be online to edit or view your presentations.
Download PowerPoint Free for 1 Month!
PowerPoint is compatible with Windows (7 and higher), Mac (Sierra 10.12 and higher), Android, and iOS. While it can run on older operating systems, there is the possibility that it will cause the computer to crash. There is no version of PowerPoint that is compatible with Linux.
The PowerPoint mobile app is a standalone app that’s included in your subscription plan . The touch-friendly app is user friendly and easy to manage on smaller screens. It gives you the flexibility to take your presentations with you, and it is easy to integrate the phone’s camera and microphone when creating a presentation. Most of the standard features are available through the mobile app, but there are some templates, themes, and animations that you’ll only see on the desktop app.
Minimum System Requirements
You must make sure that your operating system meets the minimum system requirements for running PowerPoint. If you don’t have the right specs, it could cause the program or your computer to crash.
For the best performance, it’s recommended to use the latest version of Chrome, Firefox, Edge, or Safari.
How to Uninstall PowerPoint from Windows
If PowerPoint isn’t the right program for you or if you’ve finished making the slideshows you need, you can easily uninstall the software from your computer in a few easy steps.
- Type Add or Remove Programs in the windows search bar.
- Confirm that you want to remove Microsoft 365 (with PowerPoint in it), and the uninstallation wizard will safely remove it from your computer.
While this will remove PowerPoint and Microsoft 365 from your computer, it won’t cancel your account. If you have presentations saved to your OneDrive cloud storage, you can still access them.
Additional Microsoft 365 Apps

It's Easy to Get Microsoft Word, Excel and PowerPoint. Here's How
These tips could save you $100 a year.
This story is part of 12 Days of Tips , helping you make the most of your tech, home and health during the holiday season.
Microsoft 365 is the most recent version of the Microsoft Office set of tools, and it includes programs that you already use at home, school or work. Some of the programs include Word, Outlook and Powerpoint, and buying a Microsoft 365 membership is still the most popular way to access these tools and more.
On Jan. 11, Microsoft announced the release of Microsoft 365 Basic which costs $2 a month, or $20 for a yearly subscription. However, you can snag Microsoft 365 at no cost under some circumstances.
Microsoft's suite of productivity software consists of classics like Word, Excel, PowerPoint and Outlook, as well as newer apps like Microsoft Teams, OneDrive and SharePoint.
The suite typically costs $20 to $100 a year for subscription access across devices and family members. Microsoft also has a standalone version of Microsoft Office for Windows and Mac , called Office Home and Student 2021 , for a flat $150 -- no subscription required.
Here are the versions of Office 365, Microsoft 365 and their apps that you can find online for free.
Get Microsoft Office 365 Education free if you're a student or a teacher
If you're a student, teacher or faculty member with an active school email address, you're likely eligible to get access to Office 365 for free through Microsoft, with Word, Excel, PowerPoint, OneNote and Teams, plus other classroom tools.
All you have to do is enter your school email address on this page on Microsoft's website: Office 365 Education . In many cases, you'll be instantly granted access thanks to an automated verification process. If you attend an institution that needs to be verified, it might take up to a month to confirm your eligibility.
College students can also get Microsoft 365 Personal for $3 a month with a valid school email address.

How to get Microsoft Office suite free if you're anyone else
Anyone can get a one-month free trial of Microsoft 365. However, it does require you to enter a credit card number. And if you don't cancel before the month is up, you'll be charged $100 for a one-year subscription to Microsoft 365 Family (formerly called Office 365 Home).
The good news is if you don't need the full suite of Microsoft 365 tools, you can access a number of its apps online for free, including Word, Excel, PowerPoint, OneDrive, Outlook, Calendar, My Content, Skype, Designer and Clipchamp. Here's how to get them:
1 . Go to Microsoft365.com .
2 . Click Sign up for the free version of Office under the "Sign in" button.
3 . Log in to your Microsoft account or create one for free . If you already have a Windows, Skype or Xbox Live login, you have an active Microsoft account.
4 . Select the app you want to use and save your work in the cloud with OneDrive.
Use the browser-based version of the Microsoft Word app for free.
So what's the catch for the free version?
You may be saying, "Wait a minute, if I can get all of those apps for free, why pay for Microsoft 365 in the first place?" Well, the functionality of the free apps is limited: They only run in your web browser and you can only use them while you're actively connected to the internet. They also have fewer features than the full Microsoft 365 versions.
There are still a number of benefits, however, including the ability to share links to your work and collaborate in real time, similar to what the Google Workspace (formerly G Suite) productivity tools allow. If you're looking for basic versions of each of these apps, the free version should work well for you.

Humans are hard-wired to dream, to create, to innovate. Each of us seeks to do work that gives us purpose — to write a great novel, to make a discovery, to build strong communities, to care for the sick. The urge to connect to the core of our work lives in all of us. But today, we spend too much time consumed by the drudgery of work on tasks that zap our time, creativity and energy. To reconnect to the soul of our work, we don’t just need a better way of doing the same things. We need a whole new way to work.
Today, we are bringing the power of next-generation AI to work. Introducing Microsoft 365 Copilot — your copilot for work . It combines the power of large language models (LLMs) with your data in the Microsoft Graph and the Microsoft 365 apps to turn your words into the most powerful productivity tool on the planet.
“Today marks the next major step in the evolution of how we interact with computing, which will fundamentally change the way we work and unlock a new wave of productivity growth,” said Satya Nadella, Chairman and CEO, Microsoft. “With our new copilot for work, we’re giving people more agency and making technology more accessible through the most universal interface — natural language.”
Copilot is integrated into Microsoft 365 in two ways. It works alongside you, embedded in the Microsoft 365 apps you use every day — Word, Excel, PowerPoint, Outlook, Teams and more — to unleash creativity, unlock productivity and uplevel skills. Today we’re also announcing an entirely new experience: Business Chat . Business Chat works across the LLM, the Microsoft 365 apps, and your data — your calendar, emails, chats, documents, meetings and contacts — to do things you’ve never been able to do before. You can give it natural language prompts like “Tell my team how we updated the product strategy,” and it will generate a status update based on the morning’s meetings, emails and chat threads.
With Copilot, you’re always in control. You decide what to keep, modify or discard. Now, you can be more creative in Word, more analytical in Excel, more expressive in PowerPoint, more productive in Outlook and more collaborative in Teams.
Microsoft 365 Copilot transforms work in three ways:
Unleash creativity. With Copilot in Word, you can jump-start the creative process so you never start with a blank slate again. Copilot gives you a first draft to edit and iterate on — saving hours in writing, sourcing, and editing time. Sometimes Copilot will be right, other times usefully wrong — but it will always put you further ahead. You’re always in control as the author, driving your unique ideas forward, prompting Copilot to shorten, rewrite or give feedback. Copilot in PowerPoint helps you create beautiful presentations with a simple prompt, adding relevant content from a document you made last week or last year. And with Copilot in Excel, you can analyze trends and create professional-looking data visualizations in seconds.
Unlock productivity. We all want to focus on the 20% of our work that really matters, but 80% of our time is consumed with busywork that bogs us down. Copilot lightens the load. From summarizing long email threads to quickly drafting suggested replies, Copilot in Outlook helps you clear your inbox in minutes, not hours. And every meeting is a productive meeting with Copilot in Teams. It can summarize key discussion points — including who said what and where people are aligned and where they disagree — and suggest action items, all in real time during a meeting. And with Copilot in Power Platform, anyone can automate repetitive tasks, create chatbots and go from idea to working app in minutes.
GitHub data shows that Copilot promises to unlock productivity for everyone. Among developers who use GitHub Copilot, 88% say they are more productive, 74% say that they can focus on more satisfying work, and 77% say it helps them spend less time searching for information or examples.
But Copilot doesn’t just supercharge individual productivity. It creates a new knowledge model for every organization — harnessing the massive reservoir of data and insights that lies largely inaccessible and untapped today. Business Chat works across all your business data and apps to surface the information and insights you need from a sea of data — so knowledge flows freely across the organization, saving you valuable time searching for answers. You will be able to access Business Chat from Microsoft 365.com, from Bing when you’re signed in with your work account, or from Teams.
Uplevel skills. Copilot makes you better at what you’re good at and lets you quickly master what you’ve yet to learn. The average person uses only a handful of commands — such as “animate a slide” or “insert a table” — from the thousands available across Microsoft 365. Now, all that rich functionality is unlocked using just natural language. And this is only the beginning.
Copilot will fundamentally change how people work with AI and how AI works with people. As with any new pattern of work, there’s a learning curve — but those who embrace this new way of working will quickly gain an edge.
The Copilot System: Enterprise-ready AI
Microsoft is uniquely positioned to deliver enterprise-ready AI with the Copilot System . Copilot is more than OpenAI’s ChatGPT embedded into Microsoft 365. It’s a sophisticated processing and orchestration engine working behind the scenes to combine the power of LLMs, including GPT-4, with the Microsoft 365 apps and your business data in the Microsoft Graph — now accessible to everyone through natural language.
Grounded in your business data. AI-powered LLMs are trained on a large but limited corpus of data. The key to unlocking productivity in business lies in connecting LLMs to your business data — in a secure, compliant, privacy-preserving way. Microsoft 365 Copilot has real-time access to both your content and context in the Microsoft Graph. This means it generates answers anchored in your business content — your documents, emails, calendar, chats, meetings, contacts and other business data — and combines them with your working context — the meeting you’re in now, the email exchanges you’ve had on a topic, the chat conversations you had last week — to deliver accurate, relevant, contextual responses.
Built on Microsoft’s comprehensive approach to security, compliance and privacy. Copilot is integrated into Microsoft 365 and automatically inherits all your company’s valuable security, compliance, and privacy policies and processes. Two-factor authentication, compliance boundaries, privacy protections, and more make Copilot the AI solution you can trust.
Architected to protect tenant, group and individual data. We know data leakage is a concern for customers. Copilot LLMs are not trained on your tenant data or your prompts. Within your tenant, our time-tested permissioning model ensures that data won’t leak across user groups. And on an individual level, Copilot presents only data you can access using the same technology that we’ve been using for years to secure customer data.
Integrated into the apps millions use every day. Microsoft 365 Copilot is integrated in the productivity apps millions of people use and rely on every day for work and life — Word, Excel, PowerPoint, Outlook, Teams and more. An intuitive and consistent user experience ensures it looks, feels and behaves the same way in Teams as it does in Outlook, with a shared design language for prompts, refinements and commands.
Designed to learn new skills. Microsoft 365 Copilot’s foundational skills are a game changer for productivity: It can already create, summarize, analyze, collaborate and automate using your specific business content and context. But it doesn’t stop there. Copilot knows how to command apps (e.g., “animate this slide”) and work across apps, translating a Word document into a PowerPoint presentation. And Copilot is designed to learn new skills. For example, with Viva Sales, Copilot can learn how to connect to CRM systems of record to pull customer data — like interaction and order histories — into communications. As Copilot learns about new domains and processes, it will be able to perform even more sophisticated tasks and queries.
Committed to building responsibly
At Microsoft, we are guided by our AI principles and Responsible AI Standard and decades of research on AI, grounding and privacy-preserving machine learning. A multidisciplinary team of researchers, engineers and policy experts reviews our AI systems for potential harms and mitigations — refining training data, filtering to limit harmful content, query- and result-blocking sensitive topics, and applying Microsoft technologies like InterpretML and Fairlearn to help detect and correct data bias. We make it clear how the system makes decisions by noting limitations, linking to sources, and prompting users to review, fact-check and adjust content based on subject-matter expertise.
Moving boldly as we learn
In the months ahead, we’re bringing Copilot to all our productivity apps—Word, Excel, PowerPoint, Outlook, Teams, Viva, Power Platform, and more. We’ll share more on pricing and licensing soon. Earlier this month we announced Dynamics 365 Copilot as the world’s first AI Copilot in both CRM and ERP to bring the next-generation AI to every line of business.
Everyone deserves to find purpose and meaning in their work — and Microsoft 365 Copilot can help. To serve the unmet needs of our customers, we must move quickly and responsibly, learning as we go. We’re testing Copilot with a small group of customers to get feedback and improve our models as we scale, and we will expand to more soon.

Microsoft Office’s New ‘Copilot’ AI Tool Can Create PowerPoints
PowerPoint, Word, Excel: They're some of the oldest, most established business apps still in use today. And now they'll be integrated with one of the buzziest, newest tech revolutions.
Microsoft has just announced a new text AI-powered tool , Copilot, which will be available within the business's popular Microsoft 365 apps.
The tool will function like a chatbot available to users in a sidebar, and could be used to create new text, crawl through a Word document in order to create new PowerPoint presentations, or help users deploy Excel functionality they might otherwise miss.
What Can Copilot Do?
Microsoft revealed the new tool today in a blog post , positioning the tool as a major revolution in office software.
“It works alongside you, embedded in the apps millions of people use every day: Word, Excel, PowerPoint, Outlook, Teams, and more. Copilot is a whole new way of working.” – Microsoft executive vice president Jared Spataro.
The tool draws on large language models and pairs them with the personal user data available within Office apps. While the tool is already integrated with Microsoft 365 tools today, the new format (called “Business Chat”) adds a chatbot that more directly engages with a user. The functionality has already been tested out, but it now offers a more hands-on way to convert existing user data — already available in tools like your calendar, emails, chats, documents, meetings and contacts — into new formats.
According to the announcement, users can give the chatbot natural language prompts: Saying “Tell my team how we updated the product strategy,” for example, can generate a new status update based on that morning's work.
I’m more bullish on Microsoft 365 Copilot than “AI and Google Workspaces” not only because MS is ahead on the consumerization of GPT (and better branding) but because people will use Business Chat with MS Teams where as Google Chat usage is lacking and thus it has less context. — Steve Moser (@SteveMoser) March 16, 2023
Microsoft doesn't have a yet set timeline for a Copilot rollout, or any information on pricing and licensing. But it's coming, the company says, in “the months ahead” to a wide range of products including Word, Excel, PowerPoint, Outlook, Teams, Viva, and Power Platform, among others.
Will AI Fully Replace Us? Not Yet.
AI is far from a perfectly trustworthy personal assistant, as machine learning can often generate “hallucinations” — perfectly logical-sounding statements that are actually gibberish when fact-checked. Spataro addressed this concern by highlighting that the AI tool works best for creating a “first draft” that users can then adjust as needed.
“Copilot gives you a first draft to edit and iterate on — saving hours in writing, sourcing, and editing time. Sometimes Copilot will be right, other times usefully wrong — but it will always put you further ahead.”
“Usefully wrong” is a great term to keep in mind when dealing with today's AI. As potentially revolutionizing as any new technology is, keeping humans in the loop remains a key aspect of quality-control.
At the moment, AI tools (particularly text-based chatbots) are a top tech priority. In fact, Google already announced its own AI tool similar to Microsoft's Copilot this week, making this a clear-cut innovation battle between two tech titans.
Still, Microsoft's entrenched position as a leading business software provider puts it in the best position to actually help people with its AI tools. Boosting efficiency means less time spent tackling boring office tasks, and that's a revolution plenty of people can get behind.

Harnessing the power of AI, Microsoft 365 Copilot turns your words into the most powerful productivity tool on the planet
REDMOND, Wash. — March 16, 2023 — On Thursday, Microsoft Corp. announced it is bringing the power of next-generation AI to its workplace productivity tools with Microsoft 365 Copilot. Currently in testing with select commercial customers, Copilot combines the power of large language models (LLMs) with business data and the Microsoft 365 apps, to unleash creativity, unlock productivity and uplevel skills.
Customers will experience Microsoft 365 Copilot in two ways
Microsoft 365 Copilot isn’t just a better way of doing the same things. It’s an entirely new way of working. Copilot will work alongside Microsoft 365 customers in two ways:
- First, it is embedded in the Microsoft 365 apps people use every day — Word, Excel, PowerPoint, Outlook, Teams and more.
- Today, the company also announced an entirely new experience: Business Chat. Business Chat works across the LLM, the Microsoft 365 apps, and a customer’s calendar, emails, chats, documents, meetings and contacts to do things that people weren’t able to do before. With natural language prompts like “tell my team how we updated the product strategy,” Business Chat will generate a status update based on the morning’s meetings, emails and chat threads.
With Copilot, the customer is always in control. Customers decide what to keep, modify or discard. With these new tools, people can be more creative in Word, more analytical in Excel, more expressive in PowerPoint, more productive in Outlook and more collaborative in Teams.
“Copilot combines the power of large language models with your data and apps to turn your words into the most powerful productivity tool on the planet,” said Jared Spataro, corporate vice president, Modern Work and Business Applications, Microsoft. “By grounding in your business content and context, Copilot delivers results that are relevant and actionable. The Microsoft Graph, which is the company’s API developer platform that connects multiple services and devices, is now accessible to everyone through natural language.
Copilot offers various features that can aid in generating documents, emails, presentations, and more. In Excel, it can analyze trends and create professional-looking data visualizations in seconds, and even create a SWOT analysis or a PivotTable based on data. In Word, it can help users create content alongside them by bringing in information from across their organization as needed, and can write, edit, and summarize content with only a brief prompt. Copilot can also be used to summarize long email threads and quickly draft suggested replies in Outlook, enabling users to focus on the most important parts of their work.
In addition, marketers can use Copilot to get inspiration for fresh email campaign content based on key topics entered, existing marketing emails, and internet sources, to increase the relevance of generated ideas.
Overall, Microsoft Dynamics 365 Copilot is a powerful tool that can significantly improve productivity and efficiency across various business functions by providing AI-powered assistance and access to relevant data.
How can Copilot help with creating presentations?
Microsoft Dynamics 365 Copilot is an AI-powered assistant that is built into both CRM and ERP applications to provide interactive assistance across business functions such as sales, service, marketing, supply chain, and more. While it is not explicitly designed to create presentations in PowerPoint, it can be a valuable tool in automating various tasks for users, including the creation of presentations.
According to Microsoft, with Dynamics 365 Copilot, users can jump-start the creative process by asking the assistant to create a presentation based on a Word document. PowerPoint then immediately drafts a presentation complete with a full slide deck based on the contents of the Word document supplied. Additionally, the Copilot can understand commands such as “add animations to this slide,” and using descriptive language, it can even apply different styles per slide or across the entire presentation. This can help users save time in writing, sourcing, and editing content, thereby taking the drudgery out of work.
While Copilot’s primary function is to assist business professionals, it can be an asset in creating presentations by providing a first draft to edit and iterate on, thus helping users get started quickly and easily. Therefore, it is clear that Copilot is a valuable AI-powered assistant that can help users with various tasks, including the creation of presentations in PowerPoint.

You may soon be able to use AI in Microsoft Word, Outlook
Workers will be able to chat with artificial intelligence called copilot in word, excel and outlook, microsoft says.
If you ever wished you could speed through some of the more tedious tasks of your job, such as creating a PowerPoint presentation, analyzing the latest sales data or even getting caught up on what happened in meetings you missed, you could soon get some help with an AI tool.
Microsoft on Thursday unveiled Microsoft 365 Copilot, which embeds artificial intelligence into apps like Word, Outlook, Teams and Excel. The AI assistant combines natural language processing, based on OpenAI’s ChatGPT technology, with Microsoft Office tools and capabilities to help workers automate or accelerate some of their more mundane work. Copilot is currently debuting with 20 enterprise customers, with the expectation of testing and tweaking the software. Microsoft said it expects to make it available to its larger user base in the coming months. It did not release details regarding whether the capabilities will come at an additional cost.
“We believe this next generation of AI will unlock a new wave of productivity,” said Satya Nadella, CEO of Microsoft. This will happen with help from “copilots designed to remove the drudgery from our daily tasks and jobs.”
The move follows the company’s debut of the new version of its search engine Bing , which integrates the conversational AI tool, ChatGPT. It also comes just days after Google said that it’s adding AI into its workplace software , Google Workspace.
But experts have cautioned that generative AI tools such as ChatGPT can introduce problems to work , as it can sometimes get facts wrong, misinterpret text or even generate content that doesn’t make sense. They also caution people about sharing sensitive data with generative AI tools, which could then repurpose the data to train its tech.
In its demo of Copilot, Microsoft acknowledged that sometimes its AI might get things wrong or exclude important details, emphasizing that workers can choose to review, edit or even discard results produced by the tool. It also adds some citations that show which of your files or conversations it used for its answers and suggests prompts you may want use to continue working with Copilot. Microsoft said that Copilot follows the customer’s security, compliance and privacy policies for Microsoft 365, and that it doesn’t use company data to train its systems.
Here are some of the ways to use Copilot at work.
Use business chat to work across apps
Workers who don’t know where to start can turn to a new tool called business chat, which will work across Microsoft’s apps and be embedded into Teams, on the Microsoft 365 website and in the new Bing platform for work.
You can prompt the chat to give you milestones of a project you’re working on, and it will search across apps and documents to present you with answers, offering citations of where it got those answers, for example. You can then continue the conversation and ask it to summarize its answer or infer what risks might be related to the project. Then you can turn that into an action by asking the chat to draft an email to specific colleagues including the summary and risks. If you like the draft, you can click to make the chat open Outlook and transfer all the data to the right fields, so that the subject moves to the subject line and the content is automatically pasted into the body of the email.
Workers can also use Microsoft’s collaborative chat tool Loop to create prompts for and work with the AI together as a group.
Draft documents, emails and speeches
Workers can prompt Microsoft Copilot to generate text on a specific topic in an Outlook email, in a Word document, in a Teams message or on OneNote. It will either pull from its library of information, which includes information from OpenAI’s GPT technology as well as items or conversations within your Microsoft apps, or from the documents or materials you specify.
For example, you can tell Copilot to write a message on Teams, Microsoft’s group chat and video tool, debriefing them on the latest customer interactions. From a drop-down menu, you can pick which documents have those interactions and add those to the prompt. Microsoft will then generate text. You can ask it to generate a new response, shorten it, change the style of communication to be more professional or casual, or include or exclude specific details. You can also manually edit the text Copilot gives you before sending it to the team.
Quickly build PowerPoint presentations
You can also use Copilot to speed up how long it takes to build a PowerPoint presentation.
If you already have notes or a briefing saved in a Word document, you can ask Copilot to make a presentation based off the existing file or create a file based off your presentation. You can also prompt it to include images saved on Microsoft’s cloud service, OneDrive. For example, if you wanted to create a presentation that includes the latest sales of your company’s product, you could ask it to include images you saved of that product, and it will automatically drop them in. You can edit or remove anything that Copilot adds.
You can ask Copilot to include speaker notes, so that you have a script to follow when you give a presentation. You can also ask it to add transitions between slides, make slides more visual or add animations related to your topic to a slide.
Get insights on Excel spreadsheets
On Excel, users can quickly analyze large data sets or zero in on specific data points.
So if workers have a spreadsheet showing this quarter’s sales, they can ask Copilot to give them the key trends from the data. They can ask it to visualize what led to a sales decline, and Copilot will highlight key figures. They can also ask it to break down a specific month, and Copilot will create a new sheet further analyzing specific figures based on the original data. It can also create growth models for the future.
Catch up on work communications
Workers can quickly get a recap of emails or meetings, even if they weren’t there.
If you miss a meeting, you can ask Copilot to tell you to give you the key points, which it pulls from the meeting’s transcript. You can also ask it to surface questions or comments made by a specific participant. And it can tell you what outstanding items are left and offer action items for the future. It can also help you prioritize your emails.
Automate work flows
If workers wanted to ensure that their customer service colleagues were flagged on urgent issues, they could ask Copilot to automatically send a Teams message with a summary of an urgent customer complaint and tag specific people once that message is sent. In this case, the action will be triggered every time an urgent request is received.
